A Vendor Comparison Checklist for Small Teams

Compare vendors using scope, delivery, support, evidence, switching effort, and a focused list of questions for the final shortlist.

Define the job the vendor will do

A vendor comparison should begin with the outcome and boundaries of the service. List what is included, what your team must supply, and what would count as completion. Two proposals with similar titles can cover very different amounts of work.

Write down the requirement that cannot be compromised and the constraints on time, budget, and internal effort. A provider can be capable yet unsuitable for the specific project. Keep fit separate from general reputation.

Compare the same scope of work

Use a shared checklist for each candidate:

  • Deliverables and exclusions.
  • Timeline and dependencies.
  • Support and escalation route.
  • Stated pricing and additional charges.
  • Data or asset handoff.
  • Questions requiring confirmation.

Mark a missing item as unverified. A proposal that says less is not automatically cheaper or simpler. Ask the vendor to clarify the scope before calculating a total or assuming your team can fill the gap without cost.

Check evidence relevant to your project

A case study can show an example of past work, but ask whether its scale, industry, and requirements resemble yours. A testimonial about responsiveness does not establish expertise with a particular migration or workflow.

For a fictional website project, one vendor may clearly specify content migration while another only lists page design. That difference can create substantial internal work. The useful comparison identifies the missing migration scope instead of judging only the visual examples.

Include the handoff and the exit

Ask what you will receive at the end: files, access, documentation, training, and the ability to continue with another provider. For work involving confidential information or important contractual obligations, follow your organization's review process and obtain appropriate professional advice.

Tabmeet can help compare selected public vendor pages and permitted source material. Use the brief as a question list, then confirm the decisive details directly. Missing-information checks can prioritize the follow-up, while the research brief template helps you present the shortlist to a teammate.
